Welcome to In-Depth Coaching & Consulting. These Terms & Conditions (“Terms”) govern your use of our website and the professional services provided by Dr. Ruth Pombi Chiraga (“the Consultant”). By accessing this website or engaging in our services, you agree to be bound by these Terms.

1. Professional Services

We provide Executive Coaching, Team Coaching, Reflective Practice, and Organisational Consultancy.

  • Nature of Coaching: Coaching is a collaborative process and is not a substitute for therapy, mental health care, or legal/financial advice.
    Hybrid Delivery: Services are delivered via Zoom, Microsoft Teams, Google Meet, or in-person as agreed upon in the specific Service Agreement.

2. Engagement & Contracts

A formal engagement only begins once a specific Service Agreement or Letter of Engagement has been signed by both parties. These Website Terms apply to all preliminary enquiries and general use of the site.

3. Fees & Payment Terms

  • Quotations: All fees are provided via a formal proposal and are valid for 30 days.
    Invoicing: Payments must be made via bank transfer (BACS) or as specified on the invoice.
    Late Payments: We reserve the right to suspend services or charge interest on overdue invoices in accordance with UK late payment legislation.

4. Cancellation & Rescheduling Policy

To maintain professional standards and manage scheduling:

  • Individual Coaching: A minimum of 48 hours’ notice is required to reschedule or cancel a session. Sessions cancelled with less than 48 hours’ notice will be charged at the full rate.
  • Group/Consultancy Projects: Specific cancellation terms for large projects will be outlined in your individual Service Agreement.

5. Intellectual Property Rights

  • All content on this website (text, graphics, logos, and research) is the property of In-Depth Coaching & Consulting.
  • Any materials, frameworks, or tools provided during coaching sessions are for your personal or internal organisational use only and may not be redistributed or sold without written permission.

6. Confidentiality & Ethics

  • We adhere to the EMCC (European Mentoring and Coaching Council) Code of Ethics.
  • All coaching conversations are strictly confidential, except where disclosure is required by law or if there is a risk of harm to yourself or others.

7. Client Responsibilities

The success of coaching and consultancy depends on the client’s engagement. You agree to:

  • Provide accurate information.
  • Be punctual for all hybrid or in-person sessions.
  • Take full responsibility for the decisions and actions taken as a result of the coaching process.

8. Limitation of Liability

  • Services are provided with reasonable skill and care. However, we do not guarantee specific business or personal outcomes.
  • To the maximum extent permitted by UK law, our total liability for any claim shall not exceed the total fees paid by the client for the specific service in question.

9. Data Protection

Your use of this website and our services is also governed by our Privacy Policy, which explains how we handle your personal data in compliance with GDPR.

10. Third-Party Links & Platforms

We use third-party platforms (Zoom, Teams, etc.) for service delivery. While we take every precaution, we are not liable for technical failures or security breaches caused by these external providers.

11. Professional Indemnity Insurance

Dr. Ruth Pombi Chiraga maintains professional indemnity insurance suitable for executive coaching and organisational consultancy practices in the UK.

12. Termination of Service

Either party may terminate the coaching relationship with written notice as specified in the Service Agreement. We reserve the right to terminate services immediately if there is a conflict of interest or unethical behavior.

13. Force Majeure

We shall not be liable for any failure to perform services due to circumstances beyond our reasonable control (e.g., technical outages, illness, or national emergencies).

14. Jurisdiction & Governing Law

These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the English courts.

15. Amendments

We reserve the right to update these Terms at any time. Your continued use of the website or services following any changes constitutes acceptance of the new Terms.
